Attendance / Absences


Exemplary attendance is expected of all students.  Excused, and especially unexcused, absences are closely monitored.  Excessive absences will result in dismissal from SOBT.

Absence notification must be emailed to the SOBT’s email address (schoolofobt@obt.org).  Please do not send daily absence notifications to the school administrator, as these may not be seen in a timely manner and therefore may not be recorded.  Parents may also call the SOBT reception desk and leave a message on the day of the absence, although email notification is preferred.  The email or phone message must include the sender’s/caller’s name, student’s name, student’s level, date of absence, and the reason for the absence.  The absence will be relayed to the School Director, School Administrator and teacher.

If a student is ill, the absence will be excused if parental notification is received before the beginning of the student’s class time.  Please notify us daily for a continuing illness.  All other same-day absences are considered unexcused.

Please note, we do not provide make-up classes, tuition credits, or refunds for missed class(es).  You will be contacted if an absence is not reported.   

Injury / Illness
Students who are unable to fully participate in class due to an injury, whether major, minor, chronic, or acute, we be required to observe class and take notes until recovered.  It is expected that the parents keep SOBT apprised of a student’s progress.  If a student has a contagious illness (upper respiratory infection, influenza, conjunctivitis, etc.) or symptoms that include fever, nausea, diarrhea, and/or vomiting, we kindly ask that they not attend or observe classes.  We request that you keep the student home for 24 hours after the last sign of symptoms to avoid the spread of disease. 

Tardy
We ask that students arrive at least 10 minutes before class.  Students will be required to sit out of class and take notes if they are more than 5 minutes late.  Excessive tardiness will result in a parent conference. 


School Communication

In an effort to conserve resources, we do not normally communicate by paper announcements.  Instead, all information, such as class schedules, schedule changes, important announcements, etc., will be posted directly to the SOBT Blog.  All students and/or parents should access the SOBT Blog on a daily basis.  It is strongly recommended that it be checked in the morning and at night in case of any last-minute changes. As a back up, all important SOBT Blog postings will be posted inside the building on the lobby bulletin board for student use and outside the building in the locked bulletin board case (near back door/pick-up) for parent use. Please, do not call and ask what the scheduling is for a particular day.

How to Sign Up for a Google Alert

Once you are comfortable accessing the SOBT Blog, consider signing up for a Google Alert as a back-up.  A Google Alert notifies you by email that a posting has recently occurred.  To sign up, follow these simple directions: 

1.    Go to this website: www.google.com/alerts

2.    On the right side of the screen, find a box titled: “Create a Google Alert

3.    Enter the following information:
Search terms:      “School of Oregon Ballet Theatre” (be sure to use quotation marks)
            Type:                    Everything
            How often:            as-it-happens
                  Your Email:           Enter the actual email address to which you want the email sent

4.    Each time the Administrative Director posts to the SOBT Blog, an email will be sent to the registered email address.  You can have the email sent just to your home email address or you can sign up multiple times and, for instance, have it sent to your work address as well.

Please note that Google Alert notifications will bring up several posts per day for the first few weeks if you are a new user; many of these posts will not be relevant to SOBT.  It is easy to quickly scan through these and determine which are related and which are not.  After a couple weeks, Google will have exhausted its search for postings and the irrelevant posts will be significantly reduced.

The Google Alert is only a device to aid in communication.  Do not depend on it for timely notice of all postings.  Sometimes Google Alert notification is immediate and sometimes it is delayed by hours.  Always check the SOBT Blog on a daily basis and use the Google Alert as a back-up. 



Parking

Parents

Parking in OBT lots is by permit only and is reserved strictly for SOBT/OBT employees during business hours.  Parents may not park in the three-sided parking lot, Monday through Friday, from 8:00am – 5:15pm.  Parents will need to find off-site street parking if they intend to wait in their vehicle or if they have business with SOBT.  When parking off-site, please pay attention to the parking enforcement signs.  Parking is heavily enforced in this area. 


Arrival / Drop-off Level 1 and 2 Students

Students in Levels 1 and 2 may enter the building beginning at 9:45am Monday through Thursday.  Parents should drop-off their student at the front door, entering the front parking lot only from the Morrison Street entrance.  Staying to the far left of the lot, proceed to the door.  If there is a traffic line, wait your turn until you are at the door and then allow your student to exit the vehicle.  If the student is exiting from the passenger side, the student must walk in front of the vehicle to the door, not behind the vehicle.  Exit the lot onto 6th Avenue.  Please use care and drive slowly while in the lot.  No driver should ever allow the student to exit the vehicle before arriving at the door and then bypass the traffic line.  Drop-off is not monitored.  If you are uncomfortable dropping off your student in this manner, you will need to find off-site street parking and accompany your student to the door. For Pre-ballet and First Steps Students, please see below.


Level 1 and 2 students should arrive with their ballet clothing underdressed and proceed directly to the cubbies to remove their street clothes.  Students will need to store their street clothes and lunches in the cubbies.  After doing this students should return to the lobby/stretching area to warm up for class.  Students will be under the constant supervision of SOBT staff.


Departure / Pick-up Level 1 and 2 Students

Two main rules apply to all students in Levels 1 and 2, with regard to SOBT departure:

     1)  Students must verbally/physically check out with SOBT staff upon any departure of the premises.  Staff

          will always make visual contact with the authorized pick-up person.

     2)  Only the back door may be used for departure from the building.

    

All students must be met, in person or by vehicle, by their parent/guardian or authorized driver.  Unescorted students may not be beckoned across the street, to the public sidewalk, or into the parking lot. 


If a student is departing with a friend or being picked up by someone other than the normal parent/guardian or authorized driver, parents must send a dated, signed note with the student or an email with the details.  We will not release a student to another driver, no matter how well we know the driver, without prior notification.  We are very strict about this issue as it has connected liability for our staff.



Walk-up Pick-up

Parents are welcome to park off-site and walk to the back door for pick-up.  There is a covered waiting area.  Our parent bulletin board is located here as well. 


Drive-up Pick-up

Parents should enter the south parking lot off of 6th Street.  Form one traffic line and follow the lot to the left.  Stop on the east side of the building, at the end of the long walkway.  You will be parallel to the two handicapped parking spaces.  Staff will then release your student.  Do not beckon your student back to a vehicle in the traffic line.  Only staff has the discretion to allow a student to enter a vehicle at an unauthorized point in the traffic line.  In the interest of safety, all students should enter the waiting vehicle on the driver’s side; we cannot control the speed or driving behavior of non-SOBT drivers headed toward the ATM or using the parking lot as a thoroughfare.  If your student is not ready to leave by the time you have arrived at the pick-up point, you will be motioned to circle and rejoin the traffic line.  Use extreme care when exiting onto Morrison Street, especially if making a left turn.  It is safer (and highly recommended) for drivers to instead turn right, going around the block if necessary.



Late Pick-up

Students are to be picked up no later than 15 minutes after class ends.  After 20 minutes, we will no longer staff the back door and it will be closed and locked.  Late parents will then need to park in an appropriate space, proceed to the back door, and ring the doorbell.  After 30 minutes, all late pick-ups will be charged a $25.00 late pick-up fee.  This fee rises to $50.00 after 60 minutes and continues to rise in $25.00 per 30-minute increments.  If you experience a problem and are unable to pick up your student, please call the School Receptionist at (503) 227-6890.  Calling does not alleviate the late pick-up fee, but does alert us to your situation.  We recommend that you program this number into your mobile phone.  This late pick-up policy applies to all SOBT classes, rehearsals, and performances.



Drop-off and Pick-up Pre-Ballet and First Steps Students

Parking

Please remember that parents may not park in the parking lot on weekdays.  Allow enough time to find street parking. 


Arrival

Please plan on arriving at least 10 minutes before class, 8:50am.  Late arrivals, of 5 minutes or longer, regardless of reason, will not be admitted to class.  Please consider traffic when scheduling your arrival time.


We ask that all Pre-Ballet and First Steps parents accompany their student into the building via the front door.  


Preparation for Class

Upon arrival, report to the Conference Room immediately to the right of the front door entrance.  Students will prepare for class and leave their belongings in this room. 


Students should arrive already underdressed in their ballet clothes, with street clothes on top.  The downstairs dressing rooms are off-limits to Pre-Ballet/First Steps students and the restrooms are never to be used for changing.  Please be sure to read all of the Dress Code details, as many apply.


Female students should not wear underwear under their tights.  Male students should wear briefs under their bike shorts/leggings/tights.


Pre-Ballet and First Steps students will be collected from the Conference Room and led to class at the appropriate time.


During Class

Parents may either wait in the Conference Room or leave the building for the duration of the class.  The Box Office and Front Lobby areas are off-limits to waiting parents.  Occasionally, the Conference Room will be needed for a meeting.  If this should occur, parents and students will be directed to another area to prepare and wait for class.


After Class

At the conclusion of class, staff will return the students to the Conference Room.  After preparing to leave, Pre-Ballet/First Steps students will leave the building via the front door with their parents; checking out with staff is not necessary.



Dress Code

SOBT has specific dress code requirements.  Students are required to conform to the dress code.  Students not dressed properly may be asked to sit out of class as a reminder that we take our dress code seriously. 


Dress Code Details

  • Only Mirella Style #207C or #207L (camisole, princess seams) is allowable.  No other Mirella leotard styles are to be worn.
  • Tights may not be worn over your leotard.
  • Watch the condition of your tights.  Proper care (i.e., no dryer) is essential to longevity; they can easily last over a year.  Holes in tights must be sewn or tights will need to be discarded.
  • Warm-up shorts, pants, sweaters, shirts, skirts, or legwarmers may never be worn during SOBT class.
  • A bun is required for girls in all levels.  Bangs must always be off the face.  For those students with very short hair, a soft, fabric headband, matched to hair color, is permissible to hold hair off the face.  Invisible (matched to hair color) hairnets wrapped around the bun are encouraged to control wispies.  Clippy-clips, matched to hair color, may be minimally used to help hold hair.  All students should use hairspray to control wispies.  We do not provide extra hairnets, hair and bobby pins, hair elastics, or hair spray.  Please stock your student’s dance bag accordingly and monitor the use of supplies.  All students must arrive with their bun in place.
  • For Levels 1 and 2, girls may change their hair to a ponytail for Creative Processes classes at the discretion of the teacher.
  • No decorative bun covers, snoods, ribbons, barrettes, or other hair ornaments are allowed.  No unnatural hair colors (purple, pink, blue, etc.).
  • No jewelry (necklaces, chokers, bracelets, watches, rings) in class.  Braided/String “friendship bracelets” are not allowed. Only clear or pale pink fingernail polish is allowed.
  • Students must have street clothes over their leotard when entering and exiting the building.  Ballet shoes may not be worn outside.

Storage Cubbies

Storage cubbies are located across from the main floor restrooms.  All Level 1 and Level 2 students must store their belongings and lunch in these cubbies. 


Main Floor Warm-up Area

This area is for warm-up, preparing for class, quiet socializing, and cooling down.  This is also the only area where food can be consumed.  All noise must be kept to a minimum. 


OBT Box Office / Front Lobby

Parents (other than Pre-Ballet/First Steps parents) are kindly asked not to enter the building unless they have school business with the SOBT receptionist, have an appointment with the School Administrator or the School Director, are volunteering with the SOBT/OBT organization, or are purchasing tickets from the Box Office.  It is mandatory that the Box Office and Front Lobby remain accessible to visitors purchasing tickets and remain quiet so that our customer service representatives can conduct phone sales.  The bulletin board posted inside the building contains information for the students; this same information for parent use is also posted outside the building in the locked bulletin board case by the back door. 


Parents are kindly asked not to go past the white gate unless directed to do so by the OBT or SOBT receptionist.


Schedule

Pre-Ballet and First Steps:



All Pre-Ballet and First Steps classes begin promptly at 9:00am and last for one hour.  Students should arrive through the front door 10 minutes before class, at 8:50am.  Students will store their outer clothing in the Conference Room and be escorted to class by their teacher at 9:00am.  Parents are required to be in the OBT building at 10:00am to collect their children at the conclusion of the class.  Students will be led by their teacher to the Conference Room where they will meet their parent or appointed guardian and pick-up their belongings.


Levels 1 and 2


Students in Levels 1 and 2 should be dropped off at the front door of OBT 15 minutes before the beginning of their first class at 9:45am and proceed directly to the cubbies to change; following, they should go directly to the lobby/stretching area to prepare for class.  All students will have a ballet class from 10:00-11:15am, followed by a Creative Processes class from 11:20am-12:15pm.  Students will have 30 minutes for lunch between 12:15 and 12:45pm; lunch will take place in the lobby/stretching area of the OBT studios and during this time dance videos will be shown.  The last class of the camp day will begin at 12:45pm and conclude at 1:30pm (please see detailed schedule for class offerings). Students can be picked up beginning shortly after 1:30pm and pick-up will conclude no later than 1:45.


Lunch

Students in Levels 1 and 2 will need to bring a bagged lunch with them every day.  Please note there are no refrigerators for students to use, so please pack easy to store, non-perishable items.  We also ask that due to allergies students not bring lunches that include peanut butter.  It is necessary that students bring a lunch with them when they arrive in the morning, we will not be able to accept parents dropping off lunches to their children once classes begin.  Students may also bring a small snack to eat during their 5 minute break after ballet class.  Students are also encouraged to bring bottled water.  SOBT has no food or drink available for purchase and students cannot be permitted to leave the OBT building, so please plan accordingly.
